JOB SUMMARY:

 

The Office Manager’s primary responsibility is to ensure that the day-to-day administrative functions and processes required to meet the operational needs of the Care Community have been completed. The key responsibilities of the job include: managing resident files; maintaining resident accounts (accounts receivable, trust accounting, resident billing); and overseeing the site’s accounting procedures and processing (including petty cash, banking, accounts payable, procurement and month-end accounting processes). The Office Manager is also responsible for confirming the completeness and accuracy of the site’s payroll submissions, as well as for submitting off-cycle payroll requests for processing.

KEY RESPONSIBILITIES:

  • Ensures that office duties and functions are carried out in a confidential, efficient, accurate and timely manner, in accordance with policies and procedures.
  • Promotes a positive team spirit in the residence.
  • Presents a positive company image in all external and internal contacts.
  • Ensures that payroll is properly completed and submitted.
  • Maintains resident and employee personnel records and prepares reports as required.
  • Participates in the development of the departmental annual operating budget and ensures operation within approved parameters.
  • Provides administrative support to the Leadership Team.
  • Carries out various clerical duties and prepares reports as required, where applicable.
  • Responsible for the properly completed invoice package for office purchases, to be approved by the ED.
  • Responds to inquiries from the Accounting team.
  • Receives rent payments from residents and prepares and makes bank deposits.
  • Process forms and reports with respect to resident admissions, transfers and discharges.
  • Responsible for contact with agencies regarding funding from residents, as required.
  • Maintains appropriate WSBC records to assist the ED.
  • Maintains the general office area in an appropriate fashion, including stock keeping for general supplies and office equipment.
  • Ensures office staff, work in compliance with facility policies and procedures, including safety rules and safe working practices.
  • Other duties as assigned.

 

KEY QUALIFICATIONS:

  • Post-secondary diploma in Business Administration, Accounting or equivalent
  • Experience in a healthcare environment would be an asset
  • Knowledge of time and attendance and People /HR/ Payroll administration
  • Understanding of Collective Agreements
  • Understanding of pay-related employment legislation
  • Exceptional administrative detail orientation and deadline-driven
  • Exceptional organizational skills
  • Strong problem solver
  • Proficiency with MS Office, Outlook, Excel and Word
  • Experience with Ultipro, Yardi and PCC would be an asset

Term:  Permanent

Status: Full time; 37.5 hours per week Monday to Friday
